How to Write a Professional Invoice in Nigeria (with a Checklist)
What a Nigerian invoice needs to show, from TINs and VAT at 7.5% to payment terms, with a worked example, a printable checklist and the mistakes that delay payment.
An invoice is a request for money with your name on it. If it's vague, your customer's accounts team sends it back, and the clock on your payment starts again. This guide covers what a Nigerian invoice should show in 2026, with a worked example and a checklist you can use before anything goes out.
Why the details matter more than the design
Most late payments don't come from customers who can't pay. They come from invoices that can't be processed. A corporate customer's payables team will usually check four things before releasing money: that the invoice is addressed to the right legal entity, that it matches a purchase order or agreement, that the tax is calculated correctly, and that it says clearly how to pay. Miss any of these and the invoice goes into a queue, or back to you.
Tax rules add a second reason. Since 1 January 2026, VAT in Nigeria has been governed by the Nigeria Tax Act 2025, and the Nigeria Revenue Service (NRS) is rolling out electronic invoicing in phases, starting with large taxpayers. Your customer may need your Tax Identification Number (TIN) and a correctly stated VAT amount to claim input VAT. An invoice without them costs them money, so they'll ask you to reissue it.
The anatomy of a Nigerian invoice
1. Who is billing whom
- Your business: your registered legal name (as on your CAC certificate), address, RC or BN number, and TIN.
- Your customer: their legal name, not a trading name or a person's name, plus their address and TIN where they have one. For corporate customers, include the billing contact and any purchase order number they've given you.
If you invoice a group, address the invoice to the company in the group that actually receives the service. Billing "Lekki Heights Group" when the contract is with Lekki Heights Montessori Ltd is a common reason for rejection.
2. Identity and dates
- A unique invoice number that follows a sequence, such as INV-2026-0418. Never reuse a number and never skip one without a record of why. A gap in the sequence is the first thing an auditor asks about.
- The invoice date, and the supply date or billing period if it differs, for example "Services for November 2026".
- A due date, stated as a date ("Due 17 November 2026"), not only as terms ("Net 14"). Payables teams schedule payments by date.
3. What you're charging for
Each line should say what was supplied, how much of it, at what rate, and the line total. "Professional services, ₦1,250,000" is hard to approve. "Haulage, Ikeja to Lekki, 5 trips at ₦180,000" can be checked against a delivery record in seconds.
4. Tax, shown separately
Show the subtotal before tax, the VAT rate and amount, and the total. The standard VAT rate remains 7.5%. Some goods and services are zero-rated or exempt under the Nigeria Tax Act 2025, so if a line isn't charged VAT, say why on the invoice ("Exempt supply"). If your customer will deduct withholding tax, the invoice still shows the full amount. The deduction happens when they pay. See Withholding Tax (WHT) in Nigeria for how that works.
5. How to pay
State the amount due, the currency and every way to pay. A bank account number alone works, but it makes your customer copy details by hand and makes it harder for you to match the money when it arrives. A payment link that lets them pay by card or bank transfer from the invoice removes both problems. More on that in How to collect invoice payments online.
A worked example
Here's an invoice from Adebayo & Co. Logistics in Ikeja to a school in Lekki.
| From | Adebayo & Co. Logistics Ltd · RC 1234567 · TIN 12345678-0001 · 14 Allen Avenue, Ikeja, Lagos |
| To | Lekki Heights Montessori Ltd · TIN 23456789-0001 · Attn: Bursar, accounts@lekkiheights.ng |
| Invoice | INV-2026-0418 · Issued 03 November 2026 · Due 17 November 2026 |
| Reference | PO-LHM-0312 · Services for October 2026 |
| Description | Qty | Rate (₦) | Amount (₦) |
|---|---|---|---|
| Haulage, Ikeja to Lekki (school supplies) | 5 trips | 180,000.00 | 900,000.00 |
| Warehousing, October 2026 | 1 month | 350,000.00 | 350,000.00 |
| Subtotal | 1,250,000.00 | ||
| VAT at 7.5% | 93,750.00 | ||
| Total due | ₦1,343,750.00 |
Payment: pay online by card or bank transfer using the link on this invoice, or transfer to the account shown. Quote INV-2026-0418 as the reference.
Every figure on it can be checked: 5 × ₦180,000 = ₦900,000; ₦900,000 + ₦350,000 = ₦1,250,000; 7.5% of that is ₦93,750. The bursar can match the PO, confirm the period and pay without sending a single email.
The checklist
Run through this before any invoice leaves your business.
- Your legal name, address, RC/BN number and TIN
- The customer's legal entity name, address and TIN (for business customers)
- A unique, sequential invoice number
- Invoice date, supply period and a due date written as a date
- The customer's PO or contract reference, if they gave you one
- One line per item, with quantity, rate and line total
- Subtotal, VAT rate, VAT amount and total shown separately
- Exempt or zero-rated lines labelled as such
- Currency stated (₦ unless agreed otherwise)
- Clear payment options, ideally a payment link as well as account details
- Sent to the billing contact, with any CC contacts the customer asked for
- Checked by a second person if it's above your approval threshold
That last item isn't a legal requirement. It's what stops a ₦13,437,500 invoice going out when you meant ₦1,343,750. An invoice approval process makes the check routine instead of something people remember to do.
Mistakes that delay payment
Rounding VAT by line, then again on the total. Calculate VAT on the subtotal, or on each line consistently, but don't mix the two. A ₦1 difference is enough for some payables teams to reject the invoice.
Editing a sent invoice. If something is wrong, issue a credit note or void the invoice and raise a new one. A second document with the same number makes both of them suspect.
Word files called FINAL_v3. When invoices live in documents rather than a system, nobody can say with certainty which version the customer received. That's also where numbering gaps come from.
No statement of what's outstanding. Customers with several open invoices often pay "the November one" and leave the rest. A monthly statement listing every open invoice prevents that.
E-invoicing: what changes
The NRS's e-invoicing system (the Merchant Buyer Solution) is being introduced in phases. Large taxpayers, those with annual turnover of ₦5 billion or more, came first, with a compliance deadline of 31 July 2026. Medium and smaller taxpayers are expected to follow in later phases. Under e-invoicing, invoice data, including supplier and buyer TINs, line descriptions and VAT, is transmitted to the NRS through approved providers. The practical lesson for every business, whatever its size: the cleaner and more structured your invoices are today, the less painful that move will be. Read NRS e-invoicing and VAT returns for the current position.
How Flux helps
In Flux Invoicing & Billing, every invoice is built from line items with quantity and rate, VAT is calculated from the lines, and numbering follows your sequence. Customer records hold the legal name, TIN, VAT number, RC number and billing contacts, so they're right on every invoice. Invoices go through review and, above your threshold, final approval before they're emailed. Each one carries a Pay online link so customers can pay by card or bank transfer, and you can send a statement of everything outstanding whenever a customer asks.
